Assistant Director of Business Operations Division of Public Safety Job Summary Coordinates all accounting, budget and purchasing functions for the Division of Public Safety under limited supervision.
This position works closely with the Chief of Police giving necessary strategic input.
Duties & Responsibilities Coordinates business and fiscal operations for the Division.
Participate in budget development, planning, and reporting.
Acts as a resource to the Division; Provide financial advice and information for appropriate planning and resource allocation.
Compiles and assembles data; generate and prepare administrative reports.
Maintains financial records of all funds and appropriations.
Provides central control of all purchases.
Provides complete and accurate fiscal records for the Division.
Monitors and provides updates regarding changes in policies, procedures or requirements regarding university business/fiscal policies.
Coordinates/develops/implements operational policies and procedures within the Business Office.
Oversees records maintenance for the Business Office.
Ensures compliance with OBFS policies and procedures.
Reviews and recommends changes in internal operating procedures.
Coordinate contract management.
Coordinates correspondence for the Business Office.
Supervises subordinate employee(s).
Performs other related duties as assigned.
Additional Physical Demands Physical Requirements: Use of a computer terminal keyboard and dial a telephone.
Ability to bend over and file into a filing cabinet.
Work Environment: The work performed in relation to this position will be accomplished in a heated, ventilated, air-conditioned, lighted room with all necessary equipment to perform the function.
Travel Requirements 5% Meeting travel Minimum Qualifications Bachelor's degree in business administration, management or a field related to the position.
Two (2) years of professional business, financial, and/or managerial work experience.
(NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.
) Knowledge, Skills and Abilities Ability to effectively communicate person to person as well as in writing.
Knowledge of business/management principles.
Knowledge of administrative/clerical techniques.
Ability to create, manage and maintain departmental budget.
Ability to do budget planning as well as create financial projections.
Ability to analyze and interpret budget documents, policies, and procedures.
Knowledge of university structure, organization, and administration.
Ability to develop procedures and plan goals for the unit.
Ability to work independently, effectively organize and prioritize.
Ability to work collaboratively within the Division, as well as with those outside of the Division.
Ability to identify complex issues as well as ability to problem solve issues.
Working knowledge of Standard Operating Guidelines of the Division of Public Safety.
Appointment Information This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis.
The expected start date is as soon as possible after 5/1/2024.
Salary is commensurate with experience.
