Research Program Specialist or Coordinator Civil and Environmental Engineering The Grainger College of Engineering University of Illinois Urbana-Champaign The department of Civil and Environmental Engineering in The Grainger College of Engineering seeks applicants for a Research Program Specialist or Coordinator position.
The Research Program Specialist responsible for providing coordination and support of activities to enable the efficient performance of research and educational activities for the Rail Transportation and Engineering Center (RailTEC) and its leadership of the National University Rail Center of Excellence (NURail CoE).
The Research Program Coordinator responsible for providing coordination and support of activities to enable the efficient performance of research and educational activities for the Rail Transportation and Engineering Center (RailTEC) and its leadership of the National University Rail Center of Excellence (NURail CoE).
Duties and Responsibilities: Sponsored Project Management: Manage communications and reporting for federal and state agencies, other sponsors, and industry and academic partners.
Provide coordination, project management, and oversight of RailTEC’s sponsored project budgets, which includes monitoring expenses and providing monthly financial summaries and budgeting and fiscal reporting.
Serve as liaison to the CEE Grants and Contracts office and the Funding Agency Administrator.
Provide publication development support for research projects, which includes assisting with the preparation of progress reports, technical notes, and mid-term and final project reports.
Provide editorial support for research reports, theses, journal articles, and other documents.
Provide technical assistance and oversight of research and publication databases including day-to-day and long-term information and file management.
(Coordinator level) Facilitate proposal development, including the development of proposal budgets, writing budget justifications, and overall proposal coordination.
(Coordinator level) Administer budget and financial information for RailTEC faculty and research staff, including providing financial summaries and projections, creating budgets and fiscal reporting including monthly budget projections for existing grants, contracts, as well as potential new grants.
Business Operations and Management: Process travel and purchase requests related to research and education activities for RailTEC faculty, staff, and students.
Administer RailTEC’s graduate and undergraduate funding appointments.
Serve as a point of contact for RailTEC faculty, staff, students, and researchers.
(Coordinator level) Manage RailTEC’s faculty and staff appointments.
(Coordinator level) Oversee and supervise student employee staff supporting RailTEC activities, which includes delegating tasks, managing work schedules, and mentoring.
Marketing and Communications: Manage sponsored project center website content and lead process of obtaining periodic updates.
Assist with the maintenance of RailTEC website, direct promotional activities including the production, editing, graphic design, layout and distribution of brochures and marketing materials and contact with news media.
(Coordinator level) Develop sponsored project marketing materials.
(Coordinator level) Serve as RailTEC’s liaison with off-campus organizations including industry, state and federal government agencies, colleges and universities, and other companies or organizations.
Conferences and Event Management: Organize sponsored project events, e.
g.
Annual Meetings, etc.
Assist with the coordination and execution of RailTEC conferences/events.
Other: Assume additional related duties to further the mission of RailTEC.
Minimum Qualifications: Research Program Specialist Bachelor’s degree in business administration, communication, management, or a field related to the position.
One year of professional work experience in project management/coordination in a private, public, or educational environment.
Research Program Coordinator Bachelor’s degree in business administration, communication, management, accounting, or a field related to the position.
Three (3) years of professional work experience in project management/coordination within a higher education environment.
Preferred Qualifications: Research Program Specialist Illinois Certified Research Administrator.
Research Program Coordinator Illinois Certified Research Administrator.
Fiscal-budgetary experience Familiarity with University of Illinois business and operating processes.
Knowledge, Skills and Abilities: Specialist & Coordinator: • Excellent interpersonal, communication and organization skills.
• Demonstrated ability to independently interpret policy and make informed decisions.
• Proficient organizational skills to manage diverse activities in a time sensitive environment.
• Ability to thrive in a team environment and actively contribute to the team’s success.
Coordinator: • Strong background in sponsored research administration for pre and post award activities.
• Knowledge of University guidelines and procedures for general accounting, proposal processing, and grant administration.
• Familiarity with University personnel administration policies and procedures.
• Experience with editing, marketing, communications, and/or website design and maintenance.
APPOINTMENT INFORMATION This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis.
The expected start date is as soon as possible after the closing date.
The minimum salary is $50,000 for the Research Program Specialist position and $60,000 for the Research Program Coordinator position, commensurate with experience and qualifications.
Hybrid work options may be available for this position, with the ability to be on-site as needed.
Work authorization is not available for this position.
