Position Summary:
The Philanthropy Associate provides high level administrative support for the Center for Philanthropy, specifically assigned to support the Vice President, Center for Philanthropy and the Director of Leadership Giving.
For the Vice President, the position serves as an executive assistant and liaison to the Philanthropy Board and Councils, as well as The Carle Foundation.
For the Director of Leadership Giving, the position supports the implementation of events and annual giving activities/programs.
The Philanthropy Associate assists Operations staff in reconciling of bank deposits when needed.
In addition, provides overall office management support for the team in the areas such as ordering, reimbursements, phones, scheduling and customer service.

EXPERIENCE REQUIREMENTS
Five (5) years administrative and event planning experience.
Must have supported a Manager or above.
SKILLS AND KNOWLEDGE
Advanced knowledge of Microsoft Office Suite software.
Strong knowledge of Raiser's Edge NXT and Directors Desk.
Coordinates video and audio conference calls.
Must have the ability to interact with internal and external stakeholders in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Ability to clearly convey, persuade, and negotiate information and ideas to people and groups to build cooperation and consensus.
Exercises delegated authority to serve as a liaison on behalf of the Leader by relaying instructions and information and following commitments to completion.
Ability to identify and understand issues, problems and opportunities; determines course of action and appropriate solutions.
High level event planning skills are required.
Essential Functions:
Provide high level administrative service for the Vice President, Center for Philanthropy.
Serve as the liaison for the Center for Philanthropy Board of Trustees and all regional Philanthropy Councils.
In collaboration with the Vice President, Center for Philanthropy, and Regional Council Leads, this position will finalize agendas, collect reports and presentation decks, create board/council packets and upload them to BoardVantage for distribution to members.
Attends (virtually or in person) all board/council meetings to take and distribute minutes.
In collaboration with the Vice President, Center for Philanthropy and the Program Executive, Marketing and Communications, manage The Carle Foundation member list and recruitment process system-wide, and provide logistical support for the Annual Meeting.
Takes and distributes minutes at planning meetings for The Carle Foundation Annual Meeting.
Assist in the implementation of annual giving programs and events, including fundraising and stewardship events, and the employee giving campaign.
Provide support to regions as assigned by the Director of Leadership Giving.
Provide support for Women's Legacy Circle, specifically events and the grant process.
Manage day-to-day office operations, including but not limited to meeting scheduling, ordering supplies, routing donor requests, and answering phones.
Coordinate and supervise volunteers for Center for Philanthropy to work on various projects and mailings.
Assess the need for volunteer assistance and develop scope of work requested.
Manage the Gold Star program recognition gifts.
