Job Summary — Part of support team that assists Project Managers with tasks that will ensure material is supplied accurately and timely, and customers’ requests and questions are addressed within 24 hours.
Works directly with the project managers, our customers, vendors, and staff.
The Project Support Representative (PSR) is responsible for but not limited to the following:
Delivering excellent customer service by having a professional and positive attitude in all interactions with customers
Contact manufacturers and wholesalers for acknowledged ship dates and product availability
Utilize dashboards to update project schedule dates, monitor acknowledgements, ship dates, and project statuses, and provide updates to customers
Prepare quotes and project folders for change orders
Assist in sourcing materials
Assist in entering key meeting info, project phasing, and running phased packing slips
Follow-up with customers to ensure official change order documents are issued per approved quotes timely
Obtain and send wood door prefinish samples to jobsite
Prepare warranty / closeout paperwork
Review and update vendor quotes before sourcing materials
Support the project manager as needed / required
Essential Functions
Must have strong communication, time management, organization skills, ability to deescalate issues with vendors, customers, staff
Must be able to jump from one task to another quickly and prioritize multiple tasks with similar deadlines in a rigorous, fast-paced environment
Must be able to think outside the box / have creative problem solving
Be proficient in or able to quickly learn: Outlook, Word, Excel, Bluebeam, Comsense
Experience & Other Requirements
Strong verbal and written communication skills
Ability to multi-task as several projects will be running simultaneously
A background in Commercial Door/Frame/Hardware CSI Division 8 and/or 10 is preferred but not required
Experience with MS Word, Excel, Powerpoint, Bluebeam, and Comsense is highly desirable but not required
