Job Summary
Assist Director, leaders, and participating faculty, staff, and students of the Center for Label-free Imaging and Multiscale Biophotonics (CLIMB) with all matters related to their CLIMB-related research and administrative needs, including serving as a liaison with administrative assistants of CLIMB faculty leaders, NIH program officers and staff, departmental business offices and Beckman Institute staff.
Duties & Responsibilities Assist in the planning, coordination, and scheduling of CLIMB-related meetings such as but not limited to weekly and annual CLIMB meeting, monthly TRD meeting, External and Internal Advisory Boards, Student Leadership Council, Annual Summer School, iOptics Seminar Series, meetings with Collaborative Project and Service Project Teams and other Center education and training programs assigned to other staff.
Serve as liaison between students, staff, outside agencies (such as the Press and granting agencies), Office of Technology Management and CLIMB-members.
In collaboration with the Beckman Communication office, oversee the design and maintenance of CLIMB website.
Arrange PI, external collaborator and student travel, including airfare, lodging, etc.
and process expense reports following travel.
Coordinate visits from granting agencies and research collaborators.
Prepare, collect input and structure draft of annual progress report to NIH with CLIMB leadership input, including all required accessory forms.
Work with Beckman and campus grant business offices to submit on-time to NIH.
Establish, record and track success metrics for the Center and prepare summaries and reports at least annually.
Prepare, collect input, edit and publish monthly newsletter online for Center.
Plan, organize, prepare and/or proofread reports to campus offices and federal agencies as well as scientific journal articles, manuscripts and conference abstracts.
Monitor the financial activity of assigned accounts and interact with appropriate business offices to ensure accurate financial reporting.
Hire and supervise student employees as necessary.
Manage purchasing on CLIMB grant, including submission of orders through i-Buy or orders placed via P-card/T-card.
Additional Physical Demands • Requires on-site in-person work, with flexibility for virtual meetings when needed • Requires the ability to work under pressure • The work environment is pleasant • Equipment is state-of-the-art • No known risks or discomforts Minimum Qualifications 1.
Bachelor’s degree.

A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position.
(Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.

Knowledge, Skills and Abilities Knowledge of University policies and procedures regarding budgets and expenditures, grants and contracts, purchasing and travel Demonstrated knowledge and experience in meeting submission deadlines of reports or the like that involve multi-faceted, detail-oriented tasks Demonstrated ability to exercise discretion and work independently in managing and overseeing projects Ability to prioritize tasks and work independently in a fast-paced, multi-tasking environment Ability to develop and maintain effective work relationships with internal and external constituencies Outstanding organizational skills and exceptional oral and written communication skills Appointment Information This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis.

The salary range for this position is $60,209 - $61,000/year.
Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements and budget constraints.
