Family First Program Data Assistant

Job Summary
The Program Data Assistant supports conditions for the operations of the Family First Prevention Services program.
These collaborations between the University of Illinois at Urbana-Champaign School of Social Work and the Illinois Department of Children and Family Services all require support for continuous quality improvement, communications and managing project activities for the program by creating or improving effective monitoring systems.
Duties & Responsibilities Have a working knowledge and experience in Continuous Quality Improvement data collection and data collection systems.
Supporting CQI through collecting monthly REDCap data and validating accuracy of multiple billing systems.
This requires extensive knowledge of Excel spreadsheet development for tracking purposes.
Verify data accuracy by authenticating Family First DCFS target populations by accessing the SACWIS system, ensuring that identifying family information is correct.
Responsible for reviewing and cross-referencing vouchers in various data systems to ensure that appropriate protocols were followed by Family First contracted providers who are seeking financial claims.
Create and maintain a data tracking systems pertaining to data systems to support ongoing case communications through FFPS procedures, including collecting and disseminating information to Family First Implementation and Contract Specialists.
Works with FFPS Implementation Support Staff to build collegial relationships with diverse professional networks and supports program communications with stakeholders by providing program information, through support for development, preparation, and distribution of program reports.
Works with FFPS Manager to support the scheduling of program activities, maintain program meeting minutes, communicate with providers per the request of Family First Manager, develop systems to track communication and requests made of providers.
Supports the FFPS Implementation Support Staff with communicating scheduled meetings to clients, child welfare agencies, and clinicians.
Supports the FFPS Implementation Support Staff with the development, completion and distribution of CQI Summaries for site visits.
Requesting monthly report information from various stakeholders and the Family First team.
Supports project organization and communication by identifying professional networks statewide for all programs and each of their external stakeholders.
Support the FFPS Implementation Support Staff with outreach to identify and schedule meetings with community partners/resources needed to support families in the program.
Develop systems for tracking and managing resources.
Extensive knowledge of program development materials, such as brochures, flyers or other materials requested to increase knowledge materials for Family First.
Supports EBI Program Director with internal and external projects within the Office of Child Well-Being, including serving as the lead on data request from program evaluators, providing support on development of internal program processes and case mapping of FFPS families.
Participate as a committee member at any Office of Well Being retreats, conferences or other scheduled in person meetings.
Transcribe meeting notes.
Provide support to FFPS staff as needed.
Transmit facsimile, scans and assess postal delivery.
Assist in project tasks.
Maintain skills in Microsoft Word, Excel and Power Point.
Minimum Qualifications Bachelor’s degree.
Knowledge, Skills and Abilities Knowledge of general office skills including database, spreadsheet, word processing, e-mail and desktop publishing applications.
The ability to communicate both orally and in writing is a critical skill.
Knowledge of computers and computer systems to enter data, or process information.
Ability to provide project oversight.
Ability to provide guidance and direction to clerical staff, including setting performance standards and monitoring performance.
Knowledge of quality assurance and the design and development of data management systems.
Appointment Information This is a 100% full-time Civil Service 5001 - Program Assistant position, appointed on a 12-month basis.
The expected start date is as soon as possible after the search closes.
Fully-remote or hybrid work may be considered for this position.
The minimum of the salary range for this position is $40,345.
50 ($20.
69/hour).
Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
