Trauma & Resilience Initiative Program Assistant Primary Functions: Under the supervision of the executive director.
This position is responsible for providing administrative support for the executive director and the Trauma & Resilience Initiative.
Position-Specific Duties, Tasks and Responsibilities Programming Duties 1.
Serves as a member of the Trauma & Resilience Initiative Team, presents and operates as a professional.
2.
Demonstrates competency to effectively interact in all written or oral communications clients, employees, family members and community stakeholders in an accepting, culturally responsive, non-judgmental, professional, and ethical manner.
Speaks effectively before groups when needed.
3.
Assists in the design, preparation and editing of reports/documents, letters, memos, flyers, treatment plans, various office forms, presentations, and brochures.
4.
Assists in program evaluation activities and processes.
5.
Monitors and ensures that all email accounts, listserv, social media, and phone messages have accurate information delivered in a timely manner.
6.
Assist in designing, editing, and completing letters, documents, memos, flyers, program plans, website, social media, treatment plans, program reports, and other program materials.
7.
Assist with the orientation, training, and supervision (as needed) of volunteers, contractual workers, and interns for TRI.
8.
Assist with crisis response, intakes, and other community violence efforts when needed.
9.
Provides editorial assistance and administrative support for grants and other program reports.
10.
Coordinates the office and assists with staff schedule and other training.
11.
Analyzes problems, interprets operational needs, and collaborates with the Executive Director to develop solutions.
12.
Manages events on and off site.
Coordinates logistics for venues, management of vendors, conference room selection, catering, AV, and telecom needs etc.
meeting budget and schedule expectations.
13.
Develops and distributes meeting materials, agendas, and meeting notes.
14.
Completes and processes all payroll, flex funds, process reimbursements, purchase orders, check requests, track invoices, and problem solve accounting issues as needed.
Works closely with the bookkeeper.
15.
Assists with various other duties as assigned QUALIFICATION REQUIREMENTS/JOB SPECIFICATIONS: 1.
EDUCATION: Bachelor’s level experience in a Human Services/related field (or relevant experience) 2.
EXPERIENCE: One year minimum of related experience in program development and administrative functions 3.
LICENSES OR PROFESSIONAL CERTIFICATIONS: Valid driver’s license and insurance if required to drive.
4.
KNOWLEDGE, SKILLS AND ABILITIES: a.
Ability to perform other duties that are deemed by management to be an integral part of the job.
b.
Understand trauma, trauma-informed care and culturally responsive practices/principles.
c.
Excellent organizational skills, including the ability to prioritize tasks.
d.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
e.
Ability to write routine reports and correspondence.
f.
Mastery of Algebra including the ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
g.
Can apply common sense understanding to carry out instructions furnished in written, oral, or diagram form h.
Ability to deal with problems involving several concrete variables in standardized situations.
