The Woods at Millikin is an apartment complex located on Millikin's campus that provides students an off campus living experience that cultivates opportunities for growth socially and independently.
We are looking for a skilled Office Coordinator to undertake a variety of day-to-day office and clerical tasks.
You will be an integral part in ensuring that our office operations run smoothly.
An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills.
You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.
Responsibilities:
* Greet all clients with high energy, a smile, and excitement to aid in the leasing process or resident questions
* Answer all phone calls that come through the leasing office
* Clean floors and windows as needed
* Student lock outs
* Answer questions appropriately when knowledge is known or direct clients to the appropriate manager
* Update various leasing trackers (security deposit & co-sign tracker, parking sticker list, collection/delinquency list, key fob list)
* Book appointments for potential residents or current residents requesting meeting with manager via phone calls or email
* Review daily maintenance service requests and schedule service from vendors if needed
* Assist all team members as needed
* Prepare mass emails and texts to residents, prospects and/or parents
* Oversee Woods Leasing office staff calendars/schedules
* Confirm appointments daily
* Assist Property Manager in potential large-scale construction projects - Calling to build new relationships with vendors, schedule appointments, or get bids
* *Rotating Weekends Required*
Move In:
* Make sure orientation folders are ready for all students moving in.
* Track security deposits or co-sign forms needed for students prior to move-in.
* Help with orientations, meet-there/move-in inspections, or move-in assistance as needed.
* Oversee move-in schedule and assist with rescheduled appointments
Move Out:
* Create move-out inspection work orders and folder
* Assist accounting with administrative security deposit return preparation
* Perform move-out inspections and final walks of apartments
Leasing:
* Answer leasing phone calls or direct calls to Leasing Manager
* Answer any additional questions
* Help with marketing, social media, and letters
* Write up, explain, and sign leases
* Assist Leasing Manager with entering lease information into software and occupancy book
Opening & Closing Procedures:
* Close following the procedures in the Procedures Manual
* Turning phones on/off call forward and following on-call maintenance schedule
* Opening/closing office window and waiting areas
* After-hours security sign-in
* Ensuring office and common hallway maintains clean and sightly atmosphere
Job Type: Full-time
Pay: $18.
00 - $19.
00 per hour
